Privacy Policy
This Privacy Policy describes how Agent Wizard ("we", "us" or "our") collects, uses, and protects personal data when you use the agent-wizard.com website, the Agent Wizard web application at web.agent-wizard.com, and the Agent Wizard mobile applications for iOS and Android (collectively, the "Services"). Agent Wizard is a customer relationship management (CRM) tool for real estate agents. The Services are operated from Germany, and this policy is designed to comply with the EU General Data Protection Regulation (GDPR).
Data we collect
Account data. When you register we collect your name, email address, password (stored as a secure hash by our authentication provider), country, and optionally your phone number, LINE ID, profile picture, and contact details.
Business data you enter. As a CRM, the Services store the data you and your team add: property listings (including photos, addresses, and prices), project and location records, client and owner contact records (which may include names, phone numbers, email addresses, messenger IDs, nationality, dates of birth, passport or ID numbers, and visa status), deals, appointments, tasks, uploaded files and documents, handover protocols (including photos and signatures), and accounting entries.
Chat data. If you connect a LINE messaging channel, we store the conversations between your LINE channel and your contacts — messages, images, stickers, LINE display names, profile pictures, and LINE user IDs — so you can read and answer them inside the Services.
Payment data. Paid subscriptions are processed by Stripe. We do not store credit card numbers; Stripe provides us with your subscription status and billing metadata.
Technical data. We collect push notification tokens for the devices you sign in on, and standard technical logs (IP address, device type, timestamps) generated by our hosting and database infrastructure to operate and secure the Services.
How we use data
- to provide, operate, and improve the Services;
- to sync your data between the web, iOS, and Android apps;
- to provide AI-assisted features — reply suggestions, translations, and listing text extraction — by processing the relevant text through our AI provider;
- to send push notifications you have enabled (chat messages, task reminders, new properties);
- to process subscription payments and manage your plan;
- to respond to support requests;
- to maintain the security of the Services and prevent abuse.
We do not sell personal data, and we do not use your business data for advertising.
Data of your clients
Agents and agencies using Agent Wizard upload contact records of their own clients and property owners. For this data, you (the agent or agency) act as the data controller and Agent Wizard acts as a processor storing the data on your behalf. You are responsible for having a lawful basis to store your clients' data and for responding to their privacy requests. We will assist by deleting or exporting such data on your instruction.
Service providers
We share data only with the processors needed to run the Services:
- Google Firebase / Google Cloud — authentication, database, file storage, hosting, and push notifications;
- OpenAI — processing of chat and listing text when you actively use an AI feature;
- LINE Corporation — delivery of chat messages through your connected LINE channel;
- Stripe — payment processing;
- Algolia — search indexing of owner and project names;
- Vercel — web application hosting;
- self-hosted automation infrastructure used to generate and email rental contract documents you request.
These providers may process data on servers outside the European Economic Area. Where they do, transfers are protected by standard contractual clauses or equivalent safeguards offered by the provider.
Security
All data is transmitted over encrypted connections (HTTPS/TLS). Access to your company's data is restricted by authentication and per-company security rules, so only members of your team can read it. Passwords are handled exclusively by our authentication provider and are never visible to us.
Data retention
We keep your data for as long as your account is active. If you delete your account, we delete your personal data and — if you are the last member of your company — your company's business data within 30 days, except where we are legally required to keep records (for example, billing records).
Account deletion
You can request deletion of your Agent Wizard account and the personal data associated with it at any time by emailing hello@agent-wizard.com from the email address of your account, with the subject "Delete my account". We will confirm and complete the deletion within 30 days. This removes your login, your profile, and — if no other team members remain — all company data including properties, clients, owners, deals, chats, files, and documents.
Your rights
Under the GDPR and similar laws you have the right to access, correct, export, restrict the processing of, object to the processing of, and delete your personal data, and the right to lodge a complaint with a supervisory authority. Children
The Services are a professional tool and are not directed at children. You must be at least 18 years old to use them.
Changes to this policy
We may update this policy from time to time. The "last updated" date below shows the current version. Material changes will be announced inside the Services.
